Job Description

Bouygues UK is seeking to recruit an Assistant Site Administrator to provide administrative support to the project team on our construction project based in Newham, London.

Job Purpose and Scope:

Providing full support to the Site Administrator and to the wider site team, the Assistant Site Administrator will help to control the projects documentation and administrative processes in accordance with the Project Specific and Company Procedures.

You will be responsible for providing a complete administration function alongside the Site Administrator for the project to ensure the Site office is running efficiently and for ensuring the site office is tidy and presentable at all times.

Key Tasks and Activities

-Dealing with incoming/outgoing post and couriers services

-Assisting in the preparation of documents for presentation (monthly progress presentations, client visits etc)

-Full diary management for the project director

-Setting up internal meetings and preparing agendas (if necessary)

-Maintain stock levels, order stationary and office/kitchen consumables

-Assist with Subcontract documentation i.e.: Typing, filing, scanning and copying of contracts.

-Uploading non-technical information into 4Project (database) conforming to all Bouygues Protocols (listed in Bouygues user guide)

-Maintain a filing system, including scanning reports, correspondence, contracts, holiday tracker, complaint register tracker and etc.

-Reception of external visitors

-Preparation of the newsletters, Residents Information board & Project Website maintenance

-Assist in the set up and maintenance of office equipment i.e. photocopiers and further IT requirements

-Allocating seating area and I.T server rights for new employees to the project

Good IT skills (MS Office)

Capacity to work effectively within a team environment

Organisational skills (prioritising tasks, respecting deadlines, methodical work)

Flexibility with changes to tasks and duties


Ability to cope under pressure

Problem solving and decision making

Fluent written and spoken English
