Job Description

Wood Mackenzie is looking for an enthusiastic and professional Personal Assistant to take responsibility for providing an excellent support service to our Executive Vice President Sales and Sales leadership Positions.

You will collaborate closely with the Sales Division and the wider Administration team to deliver high quality assistance ensuring Sales leaders are well briefed and organised across their full range of commitments.

About you and how you can excel in this role

The successful candidate will have experience of working as a PA for individuals at a senior level. You will have a comprehensive understanding of administrative processes, procedures, systems and organisation structure and the ability to manage key relationships at a Senior Leadership level.

We are looking for a highly motivated, flexible individual with exceptional organisational and time management skills. You will be expected to work to tight and challenging deadlines utilising your excellent communication and collaboration skills to go above and beyond to deliver a best-in class service.

Advanced working knowledge of Microsoft: Word, Excel, PowerPoint and Outlook is essential.

About the role

The Administrative Function has circa 30 employees within the UK (London/Edinburgh/Guildford). They provide a first class support service to their respective departments and colleagues across the business.

This is principally an office based role which provides comprehensive PA support to a specific individual or small group of individuals whilst collaborating with colleagues to ensure a smooth service is provided to the business.

Main Responsibilities

  • Provide personalised administrative support, diary assistance and management for an individual (SVP or EVP), or a small group of individuals
  • Organise complex travel and accommodation for individual or team and clients or visiting colleagues (including flights, hotel bookings, visas, currency, taxi bookings, security, office notification forms) as required
  • Process complex expense claims in a timely manner
  • Plan and organise internal and client meetings across multiple time zones. Liaise with external suppliers as required, arrange meeting rooms, refreshments, equipment and catering whilst working to set budget restraints
  • Attend internal and external meetings as required; collate and distribute meeting minutes as required
  • Welcome client visitors, creating a positive impression in support of the Wood Mackenzie brand
  • Maintain confidential presentations, records, spreadsheets and databases
  • Provide support for specific projects as required
  • Train, support and act as a 'buddy' to new Administrators
  • Maintain and update records for organization charts, employee contact lists and department information
  • Create process documentation and share knowledge and best practice with other Personal Assistants and Administrators
  • Provide administrative cover for other Personal Assistants or Reception
  • Anticipate the administrative support requirements of the individual/team being supported, introduce systems and approaches which improve operational effectiveness
  • Any other duties as required of the role
