The role of Executive Assistant is part of the GTRF team and reports into the Global Head of Services in GTRF.

The role of the Executive Assistant (EA) is to provide full administrative and secretarial support to the Senior Executive Manager, assisting in the provision of complex diary management, travel co-ordination and administration of a high volume of emails & paperwork ensuring deadlines are met. The Executive Assistant completes operational and administrative duties, ensuring timely completion and compliance with established internal standards.

The EA handles daily calls and inquiries of the Senior Executive Manager and responds independently to routine issues and questions. This role serves as a liaison with others within and outside the company handling activities such as event planning, travel arrangements and project follow up.

Responsibilities

  • Reading, monitoring and responding to Global Head of Services mails as appropriate
  • Meeting and diary management for Global Head of Services
  • Answering calls and handling queries
  • Organising travel and preparing complex travel itineraries
  • Planning, organising and managing events
  • Writing reports, executive summaries, meeting minutes and preparing presentations
  • Dealing with IT on issues and raising Group Service Requests
  • Other ad-hoc administration
  • Liaising with HR department as part of the establishment of GTRF

Qualifications

  • Excellent written and spoken communication skills; an ability to communicate with impact, ensuring complex information is articulated in a meaningful way to wide and varied audiences
  • Experience of creating and deploying comprehensive business/operating plans which consistently deliver desired results
  • Supported project teams/managers, showing an understanding of the basic principles of project management
  • A broad understanding of financial budgets/statements/models, with experience of analysing data effectively for planning, forecasting and reporting
  • Taken personal responsibility for understanding and agreeing performance expectations, completing the necessary mandatory training and developing the levels of capability and competence needed to be effective in the role.
