Position Summary

Nestlé Starbucks is part of our Nestlé Professional Division (“NP”) and is our Business to Business food service arm, which specialises in the Out of Home solutions market. A day in the life of a Team Co-ordinator...

An exciting, new vacancy has arisen in our Hammersmith office for a Team Co-ordinator to support the Foodservice Director & Nestle Starbucks team. The successful incumbent will be responsible for providing a seamless, confidential and highly professional service to the Foodservice Director and the wider team.

Key responsibilities will include but not be limited to the following...

  • Lead by example in meeting deadlines, communicating effectively and ensuring processes are adhered to.
  • Manage directors’ day to day meetings and activities, ensuring they have all required information in good time for preparation purposes.
  • Manage director diaries to ensure that their time is effectively organised and planned, have responsibility for director diaries and for organising all meetings, booking rooms and ensuring directors are fully briefed on every meeting. Ensure directors’ most effective use of time to fulfil their role
  • Act as first point of contact for the director to ensure visitors and/or enquirers receive a good level of customer service, including greeting visitors and screening calls.
  • Provide full support to directors when setting up and managing meetings as required, organising and providing support (set up, minutes, refreshments) as and when required.
  • Organise, co-coordinate and provide full administrative support and minute taking for cross-functional meetings. Ensure meeting agendas and minutes are compiled and distributed in a timely fashion.
  • Make domestic and international travel arrangements for directors in the most cost effective manner and prepares travel itinerary.
  • Interact with internal and external partners with integrity, honesty, and knowledge that promote the culture, values, and mission of Starbucks.
  • Assist directors with routine correspondence and presentations.
  • Open, prioritise and where appropriate answer director’s post and email to ensure that only essential information is forwarded; advise of any urgent matters arising from post/email so that such issues are dealt with on a timely basis. Compose replies to routine letters to enable directors to focus on more urgent matters; type reports and correspondence for the directors as and when required, send correspondence as needed.
  • Organise and coordinate the various itineraries of visiting international partner visits.
  • Facilitate the Purchase Order process

What Will Make You Successful?

You’ll be an experienced, highly organised and energetic team assistant with a proven track record of providing senior level support within a fast paced, corporate environment. You should also enjoy working with a wide variety of people and be able to operate professionally and efficiently even when under pressure.

You will:

  • Have experience of working as an administrator, ideally have experience supporting at Board level/Directors level and working with a team.
  • Impeccable organisational skills and ability to prioritise.
  • Advanced level PowerPoint, Microsoft Word, and Outlook required. Additional packages an advantage.
  • Excellent attention to detail.
  • Comfortable with dealing with external executives in external companies and handling client liaison.
  • Strong communication skills.
  • Self-starter and proactive to find solutions.
  • Patient and calm.
  • Demonstrates common sense and good judgement in pressured situations.
  • An understanding of the importance of confidentiality at all times.
  • Able to deal with external and internal people at a variety of levels. \
