Main purpose of the role

To be the main secretarial support to the Corporate and Employment Partners and fee earners.

Main duties

  • File opening and closing; ensuring both physical and electronic files are properly maintained together with paper and electronic filing
  • Drafting engagement letters
  • Carrying out Companies House searches
  • Completing and filing Companies House documentation (using the web-filing service)
  • Support on corporate transactions including drafting of ancillary documents (such as stock transfer forms, board minutes, share certificates etc)
  • Writing up of company’s statutory books
  • Amending documents from manuscript
  • Copy typing of documents
  • Dictation – correspondence and emails
  • Diary management
  • Liaising with clients and other third parties
  • Provide secretarial and administrative support to the Corporate and Employment team
  • Dealing with expenses claims
  • Preparing bills, management of payments, receipts and transfers, dealing with arising queries and issues
  • Supporting the smooth running of the London office as necessary eg. stationery, liaising with external contractors etc
  • Any other such duties that are deemed appropriate for this role

Person Specification

  • Good secretarial skills
  • Experience of working as a secretary within legal industry would be an advantage
  • Accurate typing and good IT and word processing skills eg. formatting documents
  • Excellent written and verbal communication skills with ability to demonstrate a professionalism at all times
  • Self-motivated with the ability to work independently with little supervision
  • Ability to remain calm under varying degrees of pressure
  • Good time management and the ability to be able to priorities work effectively
  • Flexible and manage change well
  • Good attention to detail
