Job Purpose:
This is a non-regulated position supporting a team of investment managers (IMs) in looking after their clients. The role-holder will help with all matters relating to the branch business as their level of experience and expertise grows.
Key Areas of Responsibility:
- Administration of Probate Valuations.
- Liaison with clients, registrars, intermediaries, solicitors, etc. Arranging appointments, checking holdings etc.
- Processing invoices and maintaining records.
- Ensuring valuations are produced and despatched to clients within required timescales.
- Assisting IMs with routine tasks such as requests for the transfer of money and account amendments.
- Follow the progress of stock movement into Rock (Nominees) and follow up on any issues which may arise.
- Provide a full range of administrative services including typing correspondence, maintenance of databases, filing and scanning and helping out with general office administration.
- Deal with administration for the team and identify ways of improving efficiency.
- Review current filing system and make improvements, ensuring that it is maintained to the highest standard.
- Ensuring all client communication is actioned promptly and efficiently.
- Liaise with the accounts department over cash movements and to administer payments.
- Liaise with clients to ensure prompt settlement of transactions.
- Setting up, closing and managing client files, ensuring all information is up to date and accurate.
- Ensure that compliance regulations are adhered to.
- Follow up on potential new solicitor, accountant and other intermediary connections, ensuring that the necessary forms are completed and fully processed.
- Manage occasional special projects, such as collection of KYC information.
- Assist in all aspects of opening and maintaining client accounts.
Qualifications & Experience:
- Educated to GCSE (or equivalent) level including Maths and English.
Knowledge & Skills:
- Strong communication skills – both written and verbal.
- Highly organised - a degree of initiative is expected in order to ensure that the best possible support is given to the team at all times.
- A high level of attention to detail and accuracy is vital.
- The ability to work under pressure and to tight deadlines, whilst maintaining accuracy is also essential.
- A strong team player - the role involves supporting a number of IMs, so flexibility and the ability to adapt to particular styles of working is key.
