Medical Support Services delivered by Atos is an independent assessment provider acting on behalf of the Department for Communities to assess Employment and Support Allowance, Industrial Injuries and Attendance Allowance.

Our role is to help DfC understand how a person’s health condition or disability affects their daily lives.

Our team of trained Health Professionals includes registered nurses (both general and mental health specialists), physiotherapists, occupational therapists and doctors. All of our team are experienced practitioners and trained as disability analysis.

Back Office Administrator

This is a Full-time permanent role of 37.5 hours per week based in Belfast.

As a Back Office Administrator your main responsibilities will involve:

  • Providing administrative support to the back office
  • Ensure all information taken from calls/email is accurately logged on the system and, where necessary, transferred or referred on appropriately for action
  • Liaising with a multidisciplinary teams on various tasks
  • Support in carrying out multiple reports from a wide range of sources on a weekly and monthly basis
  • Issuing key, relevant communications to the business
  • Deal with customer complaints across all benefits within agreed SLA’s
  • General administrative duties
  • Ad-hoc duties given by management
  • •Update and maintain Clinical/Administrative guidance, training documents and forms

Job Requirements

As a Back Office Administrator your skills and qualifications will include:

  • You will be required to undergo and successfully gain a BPSS and Access NI security clearance check in order to undertake this position
  • Excellent Customer Service skills – including telephone skills.
  • Ability to demonstrate a clear attention to detail: Able to gather relevant information from customers, update customer information correctly and presenting information clearly and accurately
  • Ability to undertake administrative tasks in a clear and logical structure, ensuring relevant information is documented in a consistent manner.
  • Able to confidently use MS Word, Excel and Outlook to a basic standard e.g. Able to use spread sheets to capture and store data in a clear and logical manner. Able to read and send emails / attachments etc.
  • Excellent listening skills, be able to maintain a calm, professional and empathetic manner in difficult circumstances. Exceptional written and verbal communication skills, fluent English language able to communicate in a clear, caring, courteous and professional manner.
  • Excellent organisational, analytical, prioritisation and problem solving skills, e.g. able to establishing a clear structure to your work to maximise the best use of your time and be able to make logical and solid decisions independently. Maintain high standards of accuracy often when managing multiple tasks or situations.

Desirable Skills and Experience:

Previous experience in Customer Service and Customer Relations.

Possess an understanding in handling complaint calls from clients and formulating written responses to complaints. Ideally from an administrative background in an office based environment. Time management and organisational skills as well as attention to detail.
