The UK Legal division are now seeking a talented Paralegal to join the team based in our offices in Westfield London, W12.

There are two Legal teams in the UK:

  • Intellectual Property (IP) covering all IP work for the YOOX NET-A-PORTER GROUP and its brands
  • UK Legal team covering all general commercial/non-IP related work for NET-A-PORTER (including PORTER magazine), MR PORTER and THE OUTNET.

Both teams have an international remit and are part of the wider legal division with a team based in Italy. The Paralegal will support both the IP and UK Legal teams with all administrative and junior legal tasks that the team require.

You Will:

  • Own the legal mailbox, fielding incoming requests, as well as helping to monitor the legal team’s online “legal tool”.
  • Prepare simple legal documents e.g. NDAs, termination letters, variations, competition T&Cs, IP licences, commissioning contracts, image release forms, cease and desist letters (with guidance from lawyers and/or based on in-house templates). Some scope for more legal work depending on ability and experience.
  • Type correspondence, agendas, minutes and distributing such, as required.
  • Send periodic group emails (with Head of IP’s guidance) to external foreign trademark agents e.g. requesting annual renewals.
  • Update our in-house trade mark database, WebTMS – support encompassing: email filing, uploading of documents, agreements and certificates, assistance with record updating and deadline diary management.
  • Arrange notarisation and legalisation of documents, setting up meetings.
  • Prepare evidence bundles (including making redactions) that accompany witness statements and affidavits.
  • Update the IP settlement agreement schedule with the key terms of any new settlement agreements made.
  • Facilitate document/contract signatures with internal and external parties and general contract management, including keeping track of and chasing for unsigned contracts and saving signed versions which are returned.
  • Maintain and manage filing systems and updating records, including company books and trademark certificates, as required.
  • Produce and submit work in progress reports to finance and assisting with producing quarterly IP cost reports for the General Counsel.
  • Manage the large number of invoices received by the team from external counsel and foreign agents each month, from receipt to payment, including dealing with supplier queries and ensuring timely billing and liaising with Accounts Payable.
  • Maintain the database of external counsel and foreign agents used by the legal team.
  • Co-ordinate busy diary schedules including helping to arrange meetings and arranging travel.
  • Manage all internal and external mail and helping arrange for couriers.
  • Work collaboratively with the Executive Assistant to General Counsel, providing cover when necessary.
  • Foster and develop strong working relationship internally; organising team events, inductions, team meetings and training sessions.

You Have:

  • Some legal education e.g. a law degree or the GDL (completion of the LPC is desirable) or equivalent
  • Some previous Legal work experience ideally as a Paralegal
  • Experience in all MS packages, Word, Excel & PowerPoint
  • Very strong communication skills, both verbal and written
  • A calm demeanour and able to react positively during stressful times
  • A discreet manner and used to dealing with sensitive information
  • A willingness to undertake administrative tasks, as well as junior legal work – this role will be the only administrative support that the team has, so will be expected to pick up all traditional PA/secretarial tasks as well as legal tasks
  • Proven ability to work efficiently and proactively, to work to deadlines and able to take initiative
  • Confident character to liaise with senior stakeholders both internally and externally
  • Excellent eye for detail and impeccable organisational skills
  • Ability to work well in a team and show enthusiasm for the role and the tasks required
