This role will be based at our new Medical Communications office in Littlehampton, we are near to the train station as well as the town center and we have the feel of an innovative and collaborative medial communications agency.

You will be part of our successful Digital Engagement group and report into the Account Manager and operate within a small and highly collaborative team.

As the Associate, Digital Engagement you will provide operational support on projects in the Digital Engagement team. You will support the Digital Account Manager and Specialist across a range of project tasks such as: maintaining study trackers; maintaining and writing Best Practice SOPs; invoicing; supplier management; quality review and small project management.

Key Responsibilities:

Project Co-ordination

  • In collaboration with the Specialist and Account Manager, ensure all tasks are completed on time to a high-quality standard, within project scope and objectives
  • Communicate effectively with colleagues and suppliers
  • Achieve timely and efficient completion of projects with a focus on client satisfaction
  • Meet deadlines and achieve objectives through effective management of workload, organization and prioritization
  • Support processing of invoices according to internal SOPs
  • Prepare and raise quotes, purchase orders and change orders
  • Day to day tasks will include: liaising with suppliers, internal and external teams, negotiating timelines and agreeing best practices
  • In time, become responsible for smaller digital projects within the team
  • Work on all aspects of digital engagement projects within agreed process guidelines
  • Maintain strict version control on project materials and file in a timely manner in internal folders according to project requirements
  • Take ownership of digital projects as needed with internal colleagues
  • Liaise closely with outside suppliers monitoring quality and timelines.

Financial Support:

  • Understand the budget specifications for all assigned projects. Work within the budgeted hours and communicate any changes in scope to the Specialist
  • Provide input to help support the Specialist with budget revisions and reconciliations to ensure budget accuracy
  • Work closely with Account Manager and Specialist to help provide regular status updates for all assigned projects.

Supplier Liaison:

  • Liaise with suppliers to co-ordinate tasks from start through to completion and work within supplier-specific systems, as required
  • Provide clear and concise direction to suppliers, with an emphasis on attention to detail, to ensure first-time quality
  • Proactively identify efficiencies in supplier/project process and flag as needed

General

  • Maintain a positive, results orientated work environment, building partnerships and modelling teamwork,
  • Provide support when necessary to any of the other key service lines within Meetings, Design, Clinical Communications, Studio, Editorial.
  • Proactively seek and refine new and innovative approaches, solutions and opportunities to improve project efficiency
  • Have a good awareness of digital technology and developments.
  • Understand how these digital enhancements can be applied to the healthcare industry.

Qualifications

Education:

  • Equivalent experience within a similar industry and/or role is preferred although not essential

Skills:

  • Exceptional organizational skills, including ability to prioritize work and define steps needed to achieve specified project tasks
  • Excellent attention to detail and personal time management
  • Excellent interpersonal, verbal and written communication skills
  • Excellent working knowledge of Microsoft Office (Excel, Word, Outlook, PowerPoint and Adobe Acrobat) – advanced level for Excel and intermediate for other applications. Experience with project management systems would be desirable
  • Client focused approach to work
  • Some understanding of financial processes as training will be provided
  • Flexible attitude to work assignments, new learning, and working within new systems
  • Willingness to work in a matrix environment
  • Teamwork and collaboration skills
  • Ability to suggest improvements, take ownership and provide solutions

Knowledge and Experience:

  • Relevant experience in an operational role with sound organisational skills
  • Some project management, administration or coordination experience would be an advantage
  • Knowledge of HTML code, Content Management Systems, Word Press or Javascript would be an advantage but is not essential
  • Understanding the process of managing a digital project, such as website development, video production and social media channels would be desirable
  • Has worked in a digital role already or has a personal interest in digital platforms, technology and video
