Summary of Role

Innovisk is a global underwriting platform with a strategy of growth and diversification, which through the application of technology and data management and by attracting industry leading underwriting talent is building market leading Underwriting Businesses.

This role could suit a graduate looking to make a move into the insurance sector, working for a group of Managing Agents that are looking to disrupt the norm, by harnessing data and technology.

The Administrative Assistant will support the different functions within Innovisk by providing, administrative and operational support. Whilst the main tasks initially will be administrative, for the right candidate there will be further opportunities to expand your skill base and get involved in other activities with the various functions and grow with the business.

The Innovisk Administrative Assistant will have excellent organisational abilities and attention to detail, as well as first-rate written and verbal communication skills. They will have an outgoing and professional manner with a ‘can-do’ attitude.

Key Responsibilities & Tasks:

  • Support the on-boarding of new staff members – organising access to IT systems, buildings, software, etc.
  • Responsible for administrative support to team members across Innovisk.
  • Assist with preparation of presentations and process maps.
  • Arrange travel (create itineraries, check in for flights, print boarding passes, arrange cars, apply for visas etc.).
  • Create/submit expense claims on behalf of Innovisk team in a timely and accurate manner.
  • Coordinate meeting room bookings, including refreshments and AV/ conferencing equipment.
  • Coordinate lunch/dinner reservations.
  • Manage housekeeping/stationary requirements/general office up-keep.
  • Aid in collating documents for meetings where required.
  • Organise collection of recycling/ shredding for the office.
  • Aid Innovisk team with IT issue resolutions – contacting correct support provider.
  • Maintain Innovisk holiday register.
  • Ensure the speedy reconciliation of invoices from building service provider by liaising with Accounts team.
  • Be liaison between Innovisk and building service provider on all office related issues.
  • Occasional cover for CEO and COO EA when required/ requested.
  • Fire Warden and Health and Safety duties.
  • To work in a collaborative way with the whole Innovisk team and be prepared to roll sleeves up to work on other duties as may be required from time to time.

The Requirements

  • Educated to A-Level standard or ideally a graduate.
  • Must have previous administration/secretarial/tech support experience, preferably in the London insurance market.
  • Accustomed to working under pressure for a demanding team.
  • Competent with all Microsoft Office packages; working ability with Visio or other mapping software.
  • Confident and polite telephone manner.
  • Excellent standard of written and verbal communication.
