An exciting position has arisen for an Executive Business Assistant to join our head office based in London, where they will support the Executive Board Member for Swarovski Corporate Branding & Communications.

The Executive Business Assistant will provide all aspects of executive organizational and administrative support enabling the Executive Board Member to keep abreast of all requests, proposals and general information from internal teams and external sources.

The successful candidate will support the Executive Board Member on all projects related to the Corporate Branding & Communications business, helping to liaise between all Swarovski Business Units on collaborations and strategic brand building projects, while acting with professionalism and discretion at all times.

Main duties will include but are not limited to:

  • Extensive diary management, working closely with internal colleagues as well as external industry contacts.
  • Managing the inbox of the Executive Board Member, monitoring emails, flagging and where appropriate actioning or responding to requests on their behalf.
  • Fielding calls & requests to the relevant divisions or actioning as necessary. Ensuring urgent matters are flagged in a timely manner.
  • Organizing and coordinating all meetings & conference calls, often encompassing various time zones. Being aware of any sensitive issues that require urgent attention and ensuring all important dates, including conferences, exhibitions and events are scheduled appropriately.
  • Anticipating what information will be required in advance of meetings and preparing such information, in a timely manner.
  • Communicating important instructions to all stakeholders on behalf of the Executive Board Member, as and when required.
  • Undertake research, project support and presentation creation as and when required.
  • Providing support in evaluating different strategic opportunities and initiatives.
  • Proactively identify and suggest solutions to improve the efficiency of internal processes.
  • Building and maintaining strong relationship with key stakeholders internally and externally.
  • Coordinating all business travel and accommodation arrangements (e.g. Air travel, Eurostar, drivers, car hire, hotels etc.)
  • Providing detailed itineraries for all trips, ensuring all information is also accessible electronically. Include contact information for all meetings and events. Ensure invitations and any related pre-reading is also included.
  • Recording and processing all expenses for Executive Board Member.

The ideal candidate will have the following skill set and experience:

  • Bachelor’s degree or equivalent with Business/Economics or similar field
  • Proven extensive experience in a similar executive support role essential (preferably in a Marketing & Communications, Luxury/Premium organization)
  • Experience in supporting high level business professionals with complex diary management for a global brand organization
  • Fluent in English, further language skills desirable
  • Excellent IT skills with a good knowledge of all Microsoft packages
  • Knowledge/exposure to Apple software
  • Excellent writing, presentation and representative skills.
  • Excellent and proven project coordination skills
  • Demonstrable experience creating high level presentations
